Keep a Small Knowledge Library From Answering With Old Information

A knowledge workspace can become less useful as it grows. Old policies, copied notes and current instructions may all look equally authoritative to someone searching the collection. Adding AI search does not solve that ownership problem. A small amount of organisation helps both people and tools distinguish what is current from what is merely present.

Give each document a role Separate approved guidance, working drafts, reference material and archives. The labels should describe how an item may be used, not just where it is stored. An archived procedure may be valuable for explaining a past decision, but it should not silently compete with the current instructions.

Imagine a fictional team library containing two refund-process notes and a meeting discussion about a possible change. Only one process note is currently approved. Mark that status explicitly and keep the discussion as a proposal until someone makes a decision.

Assign an owner and a review date An owner is the person or role responsible for deciding whether the document still applies. A review date records when that decision was last checked or when another check is due. Neither field guarantees accuracy, but both make maintenance possible.

Avoid using “last modified” as a substitute for approval. A formatting edit can make an old document look recent. Record the substantive review separately so readers can tell the difference between a changed font and a changed rule.

Build an index around questions List the questions the library is meant to answer and the documents that support them. For the fictional team, one question might be “Who approves an exception?” Another might be “Which record must be kept after approval?” An index organised around these jobs can be more useful than a long alphabetical file list.

Include questions the library cannot answer. If there is no approved guidance for a case, record that gap and the owner who should resolve it. A visible gap is safer than encouraging a search tool to produce a confident compromise between unrelated notes.

Test current and conflicting cases Prepare a handful of questions with known answers. Include one that depends on the current procedure, one that refers to an archived rule and one that has no supported answer. Ask the tool to identify its sources and inspect the passages yourself.

If it uses the archived rule as current, improve the source organisation before adding more instructions. Remove unnecessary duplicates, label the archive and ensure the approved document states its scope. Prompt wording alone cannot maintain a neglected library.

Schedule maintenance around actual changes in the work, with periodic checks for items that have gone stale. The library does not need to be large to be valuable. It needs a set of sources that a reader can identify, an owner who can resolve conflicts and a way to admit when the answer is not there.

Keep the inputs and review notes together in the knowledge pack builder workspace, then save a backup you can reopen.
